WIHU CONGRESS PERSONAL DATA PROCESSING DISCLOSURE STATEMENT
This Disclosure Statement has been created by WIHU Congress Congress and Organization (“Data Controller” or “Institution”) to inform data owners about the procedures and principles regarding the maintenance, storage and processing of data of those who register for congresses/trainings, fill out forms or contact/visitors through the website (wihucongress.org), in accordance with the Law No. 6698 on the Protection of Personal Data (“KVKK”) and the relevant legislation in force.
1. Your Personal Data Processed
The following personal data may be processed within the scope of our activities and services:
• Identity Data: Name, Surname, Turkish Republic Identity Number (Where required for certification and billing).
• Contact Data: Email address, telephone number, address.
• Professional and Educational Data: Your employer, academic title, and professional experience information. • Financial Data: Invoice information, payment receipts, tax offices, and tax identification number. • Transaction Security Data: IP address, website visit information, and log records. • Request and Complaint Data: Content of messages you have sent to us via the support form and contact links.
2. Purpose of Processing Your Personal Data
Your personal data is processed for the purposes of completing and managing your congress/event registration, identity verification, issuing participation certificates and name badges, reviewing and approving payment receipts, informing you about the event and registration process, responding to your support requests, fulfilling legal invoicing and accounting obligations, ensuring the security and operation of the website, and measuring and improving our service quality.
3. Legal Basis for Processing
Your personal data is processed based on the legal grounds set out in Articles 5 and 6 of the KVKK, namely: being directly related to the establishment or performance of a contract (your event registration), the necessity of data processing for the establishment, exercise or protection of a right, compliance with our legal obligations (invoicing, statutory retention requirements), and our legitimate interests (ensuring website security, measuring service quality).
4. Transfer of Personal Data
Your personal data may be shared with our hosting and technical infrastructure providers, our email delivery service provider, the Zoom infrastructure for events with live streaming, and legally authorized public institutions, only when requested and to the extent required by legislation. Your data is not shared, sold or rented to any third party or institution beyond those listed above.
5. Retention Period
Your personal data is retained for the period required by the purpose of processing and for the statutory retention periods set out in applicable legislation (in particular, invoicing records under Tax Procedure Law and Turkish Commercial Code); at the end of these periods it is deleted, destroyed or anonymized.
6. Your Rights as a Data Subject
Pursuant to Article 11 of the KVKK, you have the right to: learn whether your personal data is being processed, request information about it if it has been processed, learn the purpose of processing and whether it is used in accordance with that purpose, know the third parties to whom it is transferred domestically or abroad, request correction if it has been processed incompletely or incorrectly, request deletion or destruction within the framework set out in the KVKK, request that these actions be notified to third parties to whom the data has been transferred, object to a result that is to your detriment arising from the analysis of your data exclusively through automated systems, and request compensation for damages arising from unlawful processing.

You may submit requests regarding the rights listed above, together with documents verifying your identity, by email to info@wihucongress.org or in writing to Beştepe Mah. 31. Sk. No:2 B İç Kapı No:28 Yenimahalle / ANKARA, Türkiye. Your requests will be concluded free of charge as soon as possible and within thirty days at the latest, depending on their nature.
8. Cookies and Location Information
When you visit our website, your general location (at country/city level) may be determined via your IP address in order to measure service quality and analyze site traffic. This process does not directly identify you and is used solely for statistical reporting purposes.
